Quick start
Getting from an empty account to a worker submitting a real service log takes about fifteen minutes. Do it once, end to end, before you set up the rest of your equipment.
Before you start
You need an owner account (creating properties is owner-only), one piece of equipment to practice on, and — ideally — its manual as a PDF. A printer is handy for the QR code, but you can test the whole flow on screen first.
Set up your first asset

Create a property
Go to Properties and add the location the equipment lives at. A property is just a grouping — a name is all that is required, and the address is worth adding.

Add an asset
Open the property and add an asset for the equipment. Give it a name, and fill in the details you have: brand, model, serial number, install date, and warranty date. You can add them later.

Attach what the worker needs
Upload the manual PDF, add reference photos (where the shutoff is, what the panel looks like), and paste any YouTube instruction videos. This is what the worker sees before they start. Care instructions also show there, but there is no editor for them yet — ask Opzaco to set them up during onboarding.

Build the service form
Open the asset’s template and add the checklist items and questions a worker should answer on each visit. Keep it short — see Service forms for the field types and advice on length.

Set a service schedule
Set the service frequency in days — 30 for monthly, 90 for quarterly. Leave it blank if the asset has no schedule. Opzaco uses it to work out what is due and what is overdue.

Print the QR code
Every asset gets a QR code automatically. Print it from the asset page — one code, or a four-up sheet — and put it on or near the equipment.
Bring a worker on

Create the invite
Go to Staff and invite the worker by name. Choose the QR / link method for workers without email, or the email method if they check email regularly.

Share the link yourself
Opzaco does not text the worker for you. Show them the QR code in person, or send the link by SMS, WhatsApp, or email from the share screen. The link is one-time use and expires in 30 days.

Let them redeem it
The worker confirms their name and enters their own mobile number. From then on they sign in with a one-time code sent to that number.

Scan and submit
Have the worker scan the sticker, read the instructions, fill in the form, take photos, and submit. If something is broken, they tick Flag for review.

Check the dashboard
The log appears on your dashboard immediately, with photos, notes, and who submitted it. Flagged logs are called out separately.
Then what
Once one asset works end to end, repeat for the rest. Two settings are worth visiting early: terminology (rename Property and Asset to your words) and Ask the Manual (let workers question the manuals directly).
