Receipts

Workers buy things in the field — fuel, parts, consumables — and the paper receipts need to reach the office. Receipts lets a worker photograph one, tag it with a category you define, and send it. Off by default; an owner turns it on.

Turning it on

    Open Organization settings

    Find the Receipts card and tick Receipt capture.

    Add your categories

    Each category is a short code plus a label. The code (FUEL-100) is what your bookkeeper sees in the email; the label (Fuel & Gas) is what the worker picks from. Use the codes your accounting system already uses.

    Add recipients

    One email address per line — bookkeeper, accountant, yourself. Every submitted receipt is emailed to this list as a PDF with the photos inside.

    Set the optional extras

    A reply-to address, since receipt emails come from a no-reply sender and replies would otherwise go nowhere. A standing note added to every receipt email — a job code, a filing instruction. And the PDF layout: Detailed puts a branded header with category, worker, date, and note above each photo; Photos only is one photo per page with nothing else.

Saving with no categories or no recipients is rejected. The first would hand workers a dead picker; the second would strand every receipt with nowhere to go.

What a worker does

Workers get a Submit receipt button on their home screen — under the scan button in the app, under the asset-code box on the web. They pick a category, photograph the receipt (as many shots as it takes; a long till roll often needs two or three), optionally add a note for the office, and submit. The email goes out immediately afterwards.

If nothing appears for them, receipts is off for your organization or has no categories yet.

What the office receives

One PDF per receipt, with the photos inside it, plus the category code and label, who submitted it, when, and any note the worker left. A single file to forward to a bookkeeper beats a mail thread of loose image attachments.

The category and the recipient list are recorded on the receipt itself at the moment of submission — changing your categories later never rewrites what a past receipt was filed as.

Tracking them

Receipts in the sidebar lists what has been submitted. Each row is either Sent or Pending. The receipt itself is saved either way; Pending means the email has not gone out. It is worth glancing at this list rather than assuming delivery — if something sits on Pending, tell Opzaco, since the cause is on the mail side rather than anything you can fix from the dashboard.

Retries and duplicates

Like service logs, a receipt carries a unique identifier, so a retry after a dropped connection cannot create a second copy. There is no offline queue yet — submitting needs a connection.
